Conference Abstract Submission & Participation Agreement

This agreement applies exclusively to TheSustainImpact conferences, forums, and related events, including abstract submission, proceedings publication (ISSN), and participation. It does not apply to journal submissions, which are governed separately by the Journal of Sustainable Innovation and Impact (JSII) at: https://publications.thesustainimpact.com/index.php/jsii
1) Eligibility and Submissions
- Submissions must follow the instructions on the Abstract Submission page, including word limits, template, file format, and deadlines.
- The submitting author confirms they are the original author or a co-author with permission to submit on behalf of all authors.
- The work must be original, relevant to the conference themes, and free of unlawful or defamatory content.
- The organizers may perform editorial adjustments limited to formatting and minor language corrections that do not alter the meaning.
2) Review, Acceptance, and Scheduling
- Submissions are screened for relevance and quality. Acceptance is not guaranteed.
- Decisions are communicated by email. The organizers may adjust presentation format, sequence, or session assignment.
- Accepted authors agree to present according to the final program and to meet all submission of slides or media deadlines where applicable.
3) Registration and Fees
- Presenters and attendees must complete registration and payment, where required, by the stated deadlines.
- Membership benefits, if applicable, are applied according to the published Membership Terms on thesustainimpact.com.
4) Publication and License
- If accepted, the abstract will be published in official event materials, including the program and TheSustainImpact Abstracts Series (ISSN), and may be made available online.
- If proceedings or full papers are published through a third-party publishing partner, authors will be informed and the partner’s publishing and licensing terms will apply.
- Authors retain copyright. The authors grant TheSustainImpact a non-exclusive, worldwide license to use, reproduce, distribute, and display the abstract and associated metadata for event, archival, indexing, and promotional purposes.
5) Use of Third-Party Content
- Authors are responsible for securing permissions for any third-party material (figures, images, tables, datasets) included in their submission or presentation.
- Authors warrant that the submission does not infringe any third-party rights.
6) Code of Conduct
- All participants must act with professionalism and respect. Harassment, discrimination, and disruptive behavior are not tolerated.
- The organizers may remove any participant or presentation that violates this Code of Conduct or applicable laws.
7) Recording, Photography, and Publicity
- Sessions may be recorded, photographed, live-streamed, or captured as screenshots. The organizers may use such media for documentation and promotion.
- If you do not wish your image to appear in promotional materials, notify the organizers in writing before the event. Practical limitations may apply for live or large-scale recordings.
8) Personal Data
- Personal data are processed for submission handling, review, scheduling, registration, communications, certificate issuance, and publication of programs and proceedings.

9) Withdrawals, Cancellations, and Changes
- Authors may request withdrawal of a submission before publication deadlines by contacting the organizers in writing.
- Event content, schedule, format, or speakers may change. If the event is cancelled or postponed, the organizers will announce available options.
10) Liability and Force Majeure
- The organizers are not liable for indirect, incidental, or consequential losses.
- The organizers are not responsible for failures caused by events beyond reasonable control, including but not limited to outages, strikes, public emergencies, or platform failures.
11) Applicable Law and Disputes
- This agreement is governed by Portuguese law. Any disputes shall be subject to the competent courts of Portugal.
